Administrative Assistant II

Merakey is currently seeking a Part Time Administrative Assistant II to join our Coal Township, PA team.

Participate in departmental staff meetings and other training sessions and in-service programs as assigned. Meet with Program Director for regularly scheduled supervisory planning and consultative meetings. Be responsible for opening and closing office daily or by designee. Complete an initial brief registration form on all new clients and enter into Management Information System. Collect co-pays on insurance plans, no show fees and private payments. File, type, copy, transit fax, operate postage machine and perform data entry. File and maintain client records. Prepare charts for psychiatric clinic days and process the chart after the client is seen. Discharge Clients out of the electronic health record system and adhere to all policies and regulations regarding discharging clients. Assist with obtaining authorization for services and medications.
Assist with training, conference, etc. by registering employees, tracking reservations and other necessary requirements. Must have knowledge of computer programs including: Microsoft Word, Excel, Access and PowerPoint. Maintain confidentiality regarding client and departmental information as per agency policy, DPW regulations, State and Federal regulations and the Mental Health and Mental Retardation Act of 1966. Maintain effective working relationships with all office professionals, external professionals, and all staff of Merakey. Schedule client appointments for all clinical staff on computerized schedule. Responsible for the scheduling of initial as well as follow-up appointments. Maintain office activities, schedule appointments, calendars, respond to inquiries, complete record requests, handle correspondence, process documents, verify information and provide assistance to the public in completing forms or providing full range of secretarial services, or by designee. Maintain accurate information on open cases and make appropriate changes, file, type, sort and route mail, log information, etc as assigned. Perform housekeeping activities for the site such as vacuuming, dusting, cleaning bathrooms on a regular and routine basis; Participate in cross training with other specialists as deemed necessary by supervisor. May perform other duties as required or assigned.
Minimum High School diploma or equivalent with three (3) years of clerical experience (preferred). Acceptable PA criminal clearance, FBI clearance, as required, PA Child Abuse Clearance, Physical Exam/TB Test.
Schedule: 20 hours/week. Tuesdays 10 am - 6 pm; Wednesdays 9 am - 1 pm; Thursdays 10 am - 6 pm.
Pay rate: $11.17/hour

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
